If yes, we submit. Normally we try to have all decision done prior to three days before the deadline. So people can review before the deadline. If during the review anyone changes mind of one of our decision. Either as a group we concur via email or we have to set a meeting to discuss the changes but everyone has to concur.In every meeting we have minutes meeting, to record our decision and discussion of the meeting. If someone miss the meeting, the person that wrote the minutes meeting send it out to the person.We archive all documentation in google drive where everyone can access it. Delegate work at a early time, so that way we have more research in different area instead of figuring out by all of us the same day of the meeting.
